1. What we collect
- Identity and contact details — name, phone number, email address, and identification number (NRC or passport) recorded at check-in, as required for guest registration.
- Booking details — dates of stay, room type, number of guests, and any special requests you send us.
- Folio and payment records — charges for your room, bar and restaurant, and the method used to settle them. Full card numbers are never stored in our systems.
- Account details — if you create a guest account on this website, your login email and a hashed password.
- Messages you send us — booking requests, contact-form messages and reviews you submit.
2. Why we use it
- To honour your booking, register your stay, and bill you correctly.
- To contact you about your current or upcoming stay (for example a change to your reservation).
- To keep the records Zambian guest-registration and tax law require of us.
- To improve the lodge — for example, understanding which rooms and dishes guests prefer. This uses aggregated figures, not individual profiles.
- To send marketing only where you have asked for it; every message includes a way to stop.
3. How we store and protect it
- Guest records are held in the lodge's own password-protected management system, accessible only to staff whose role requires it.
- Passwords are stored only as cryptographic hashes; staff cannot read them.
- Access to the system is over an encrypted (HTTPS) connection.
- Paper registration records are kept securely at reception and destroyed when their retention period ends.
4. Who we share it with
We do not sell guest information. We share it only where necessary: with authorities where the law requires guest registration details, and with payment providers solely to process a transaction you initiated.
5. How long we keep it
- Registration and folio records: for the period required by Zambian law and normal tax audit windows, then securely destroyed.
- Contact-form and booking-request messages: until the enquiry is resolved, then for at most 12 months.
- Marketing consent: until you withdraw it.
6. Your rights
You may ask us, at any time, to show you the personal information we hold about you, correct anything inaccurate, or delete it where no legal retention duty applies. Email info@kawalodge.com or ask at reception; we respond within 14 days.
7. Cookies and this website
This website uses only the cookies needed to keep you signed in to your guest account and to protect forms from abuse. We do not run third-party advertising or tracking cookies.
8. Children
We do not knowingly collect information from children except as part of a family booking made by a parent or guardian, where only the details needed for the stay are recorded.
